2011 Accomplishments

You will be pleased to note that through the due diligence on part of your Board during the past year, we have made a lot of progress on several items. Below is a summary of what we have accomplished.

Sending quarterly newsletters to keep the community apprised of current events
Clubhouse improvements - new recumbent bike, treadmills, LED TVs
Installation and configuration of surveillance cameras
Landscaping improvements – new trees, shrubs, flowers
Irrigation – new zones with sprinklers
Pump station maintenance / improvements – new pump to be installed soon
Working collaboratively with Board, Property Management and vendors, motivating everyone to put in their best, while maintaining decorum.
Contributing cost saving ideas to improve the community -

Implementation of a wireless monitoring system that is saving the community several thousand dollars annually
Aggressive contract negotiation. The following contracts now cost the community lesser and / or include additional services:

Snow Removal, Trash Removal, Property Management, Landscaping, Irrigation, Pond, Swimming Pool, Cleaning Service, Handyman, monitoring services

Implemented VOIP phones and fax lines

Attempting to settle the Builder Transition. This seems like a never ending task and you will see an update in a forthcoming newsletter
HOA Website maintenance
Soliciting feedback from community, vendors & board
Encouraging home owner interaction by sponsoring events such as the Halloween parade
Municipal reimbursement

What not to flush

Recently the Association has had a problem with the pump station failing. The pump station acts as a sewer for the community. The main problem the pump is failing is due to items being flushed down the toilet and items put in the sink and garbage disposal that should not be. Due to these problems the Association has had to pay several thousand dollars in repairs.

Some of the items found in the pump station include:

· Disposable baby, personal and cleaning wipes (even the “flushable” ones)

· Dental floss

· Q-tips

· Syringes condoms, tampons, and wrappers

· Paper towels and tissues

· Leftover pharmaceuticals, pills, individual wrappers

· Grocery store produce stickers (used be individual grocery stores to code produce for the cashier)

· Fats, oils, and grease from pots, pans, and dishes

· Food wrappers

· Condiment packets

· Soiled clothing

Your toilet should only be used for the disposal of human waste and toilet paper. Garbage disposals should only be used to dispose of small amounts of food waste.

Never dump these and other items in the toilet – they clog pipelines and the treatment plant causing sewer spills and overflows.

Therefore, at this time we are asking you to be mindful of what is put in the garbage disposal and what is flushed down the toilet. If the pump station continues to fail, the sewerage can back up into your homes causing a horrible mess.

2011 Election Results

The board would like to welcome Harshad Kamat and Parijat Sinha who were elected during the February 23, 2011 election.

Harshad received 111 votes, and Parijat 107. The quorum was met and we look forward to having them help the board with its activities.

Below is a brief description of the responsibilities

President:

Prepare meeting agenda
Preside at all board and owner meetings
Appoint and supervise all committees
Supervise the manager
Train directors for future leadership positions
Set positive example

Vice President:

Keep current on HOA business
Be prepared to fill in for president (Only a “heartbeat” away)
In training for future presidency

Secretary:

Record minutes at all meetings
Maintain book of minutes and resolutions
Post meeting notices
Attest to the authenticity of corporate documents
Certify all meeting notices and election results
Responsible for all official communications with members
Timekeeper for all meetings

Treasurer:

Responsible for collection and expenditure of assessments
Review and summarize financial statements
Approve/sign all checks
Monitor reserve investments
Monitor delinquencies

All Board Members:

Come to meetings prepared
Maintain a professional demeanor
Put personal agendas aside
Encourage participation
Be open and fair
Maintain confidentiality when appropriate

Board meetings are designed to transact HOA business. All members are welcome to attend and observe. To that end, a Member Forum at the end of the meeting for owner comments, questions and complaints is observed (It’s the American way).

All members have the responsibility to serve the HOA in some way, whether it be on the board or committee.

Gym and Pool Hours

Clubhouse gym hours with key fob: Monday through Sunday 6:00 am until 11:00 pm

Key fob can be obtained by paying a deposit. Please see property manager at the clubhouse.

Clubhouse gym hours without key fob is possible during the hours property manager is at the clubhouse.

Swimming pool hours:

Opens Memorial Day and weekends until last day of school (South Plainfield School District)
Daily until Labor Day 10:00 am - 8:00 pm
Weekends in September from 10:00 am - 6:00 pm

Timings subject to change based on weather conditions
